Cancellation Policy

Book The Bed acts as an agent that books travel products on your behalf with independent suppliers. Cancellation, change and refund terms are set by the supplier and the applicable rate or fare rules — not by us. We show you those terms clearly before you book and again on your confirmation, and we help you submit and coordinate a cancellation. This page explains how it works for hotels and for flights, which are quite different.
1. Hotels — rate types
- Free cancellation — you may cancel free of charge up to the deadline shown on the rate (a date and time). Cancel before the deadline for a full refund of the room cost.
- Non-refundable — the booking cannot be cancelled or changed for a refund. Payment is taken at booking and is not returned if you cancel or do not show up. These rates are usually cheaper, and the non-refundable label is shown before you book.
2. Hotels — how to cancel
Sign in and open My Bookings, choose the booking, and select "Cancel booking". We show any applicable refund or charge before you confirm, so there are no surprises. You receive confirmation once the cancellation is processed. Cancelling a non-refundable booking releases the room but does not generate a refund.
3. Flights — airline fare rules govern
Flights are controlled by the operating airline's fare rules, which you accept when you book. Most fares — especially the lowest economy fares — are non-refundable. Where a fare does allow it, a change or cancellation typically incurs an airline penalty, and any remaining value is often returned as airline credit for future travel rather than cash. We display whether a fare is refundable or non-refundable, and any change conditions, before you pay.
4. Flights — how to cancel or change
Flights cannot be cancelled instantly in the app. Because the booking is held with the airline through our travel partner, changes and cancellations are handled as a request that we coordinate on your behalf — this protects you from accidentally forfeiting a non-refundable ticket.
To start, contact us at support@bookthebed.com with your booking reference (PNR). We will confirm the fare rules and any expected refund, credit or fee before anything is actioned, then submit the request to the airline. Airline-coordinated cancellations and refunds can take time to process — please allow up to 15 business days, and longer in some cases. The eligibility, amount and timing of any refund are determined by the airline, not by us.
5. Flights — if the airline cancels or changes your flight
If the airline cancels your flight or makes a significant schedule change and you do not accept the alternative offered, the airline is responsible for re-accommodation or a refund under its policy and applicable law (including, for journeys covered by it, the right to a refund to your original payment method). We will help you request this from the airline. We are not the airline and cannot guarantee its decision or timeline.
6. Refunds — how and when
Where a refund is due under the rate's or fare's rules, it is returned to your original payment method by the party that collected the payment (our payment partner for hotels; the airline for flight fares). Card refunds typically take 5–10 business days to appear, depending on your bank. Taxes and certain supplier fees may be non-refundable. Any Book The Bed booking or service fee is non-refundable, except where the law requires otherwise.
7. Optional extras and promo codes
Optional extras selected at checkout follow the same cancellation outcome as the booking they were purchased with. Discounts from promo codes are applied to the booking total and are not refundable as cash.
8. No-shows
Failing to check in or board without cancelling is treated as a no-show. No-shows are generally charged in full and are not refundable, unless the rate's or fare's policy states otherwise. Unused flight taxes may sometimes be reclaimable on request.
9. Changes by the supplier
In rare cases a hotel may cancel or modify a booking (for example due to overbooking or closure). If this happens we will notify you and, where the booking cannot be honoured, help you obtain a full refund of amounts paid for that booking or find a comparable alternative. Our responsibility is limited to facilitating this.
